B) How we collect your data

In order to access websites over the internet, data needs to be transferred from the server on which it is stored to the computer trying to connect to the content. For this purpose, the request by the computer must also indicate which recipient the information should be transmitted to. For this purpose, all devices have assigned so-called IP-addresses. The IP address and certain information is transmitted automatically by the user’s browser once the website is accessed. Purpose of this processing is the technical accessibility of the website.

When you visit our website, we process information under the following circumstances.

1.Website analytics

Tracking technology helps us track the overall trends in our website traffic. Our website uses Plausible Analytics to help us understand the website usage without collecting any personal data or personally identifiable information. We chose Plausible Analytics because it is a privacy-focused company, based in the EU, that avoids personally identifiable information in favour of anonymous aggregate data. You can find out more about Plausible´s privacy policy here.

2. Job applications

When applying for a job via our website, we might store information you have shared or uploaded for this purpose. Depending on the country you apply for, we might use third-party cookies in order to maintain a talent management software on our website.

3. Contact forms and enquiries to us

When you contact us via our contact forms, we collect the information you provided within this form, including any uploads. Based on your language settings, your information will be sent to your local insurance company or branch. You can find the details of our local insurer or branch in section A).

In response to your request, we will collect your information to effectively address your inquiry, establish or fulfil contractual obligations, or handle any complaints or claims you wish to resolve. Our legal basis for processing your data will be either our legitimate interest in fulfilling your request,  initiating or executing a contract (e.g. insurance contract) with you or helping you in processing your claim.

4. Cookies

When you use our website, cookies are saved on your computer. Cookies are small text files that are saved on your hard drive and allocated to the browser you use, through which certain information is sent to the body that set the cookie (in this case us). Cookies cannot run programs or transmit viruses to your computer. Their purpose is to make the website more user-friendly and effective overall.

This website uses the following types of cookies, which are described in more detail below:

  • Transient cookies
  • Persistent cookies

Transient cookies are deleted automatically when you close the browser. Transient cookies include session cookies, which store a session-ID, which is used to assign different requests from your browser to the joint session. In this way, your computer can be recognised when you return to our website. The session cookies are deleted when you log out or close the browser.

Persistent cookies are deleted automatically after a specified length of time, which may vary depending on the cookie. You can delete the cookies in your browser’s security settings at any time.

You can configure your browser settings as you wish and, for instance, decline third-party cookies or all cookies. Please note that you then might not be able to use all the functions of this website. Our Cookies Management Tool helps you to manage your cookie preferences including providing or withdrawing consent. C) How we receive data about you

We generally receive your personal information from you or from someone acting in your name when interacting with this website.

D) Recipients of your information

To process your information we, to some extent, use external service providers as data processors. These processors were carefully selected and commissioned by us, are bound by our instructions and directions and are monitored at regular intervals.

E) Data subject rights

You can request information about the data stored relating to your person using the contact information for us given above. Furthermore, under certain circumstances, you can demand the rectification or erasure of your data. You may also have the right to restrict the processing of your data and the right to receive the data, which you have supplied to us, in a structured, commonly used, machine-readable format.

If you have given your consent to the processing of your data, you can withdraw this consent at any time. Doing so will only affect the lawfulness of the processing of your personal data that occurs once you have notified us of such a withdrawal of consent.

Insofar as we base the processing of your personal data on a balance of interests, you may object to the processing. This is the case if the processing is, in particular, not necessary for the fulfilment of a contract with you. If you exercise this right to object, we ask that you state the reasons why we should not process your personal data as we have previously done. If your objection is justified, we will examine the situation and will either stop or adjust the data processing or point out to you the compelling legitimate grounds for our continued processing of your data.

Right of complaint

You have the option to lodge a complaint with the Data Protection Officer mentioned above or with a data protection supervisory authority.

F) Erasure

For any cookies we use, we inform you in our cookie management about their storage period.

Information provided within contact forms is temporarily stored for 24 hours on our logfiles.

We might store your information in cases where you raised a request with us. In such cases, your data might be stored for as long as it is necessary for the relevant purpose (claims management, insurance contract, job application) or in order to comply with laws to retain certain information (f.e. tax retention periods).

G) Transfers of data to third countries

Normally, your requests are processed by us in the country in which you made the request. In cases in which we process your personal data within the company, but outside the EEA, we only transfer your personal data to a country outside the EEA when we have concluded standard data protection clauses or provided other appropriate safeguards. Regarding our general processing of information on this website, Aioi Nissay Dowa Europe Limited is based in the UK. Processing of personal information by EU visitors is based on the adequacy decision currently existing between the EU and the UK.

If we transfer your personal data to service providers outsider the European Economic Area (EEA), this transfer only takes place if the EU Commission has confirmed that the third country has an adequate level of data protection or if other appropriate data protection safeguards (e.g. binding corporate data protection rules or EU standard contractual clauses) exist.

You can request detailed information about this and about the level of data protection at our service providers in third countries from the address given above.
